1. No refunds after initial close of entries
2. Refunds prior to the close of entries will attract a 10% administration fee.
3. If the event is cancelled or postponed, there will be a 15% administration fee withheld from nominations.
4. Refunds for stabling & camping. Medical Levy and Development fee will be refunded.
5. Substitutions of horse and rider will be considered up until the Wednesday prior to the event, as long as in the same class. No other substitutions will be considered.
6. Intention to withdraw MUST be lodged before 4 pm on Friday.
Please ensure that you enter the correct class, any changes will attract a fee. Please indicate on the entry if you are a junior (rider under 18yrs). Late entries: $25 fee will apply per horse – please contact the Secretary

This class will proceed with a minimum of five (5) riders.
EVENT FEES & CONDITIONS
• This event is subject to the EvQ xc & Safety Development Fee – $20 per horse for the first three horses per rider.
• $30 per to assist with additional medical coverage as required under the National Eventing Rules
• This is not a Hendra-mandated event; however, all biosecurity measures must be followed and will be in place.

PRIZES & RESULTS
Presentations
A presentation will be held at the completion of the event, following all official formalities.
- CCN Classes – Cash to 1st to 3rd & ribbons as per EA Rule 505.3.1
- All other classes – Ribbons commenced competitors, as per EA Rule 505.3.1
REQUIREMENTS TO RECEIVE PRIZE MONEY
To receive prize money, 1st, 2nd and 3rd placegetters in each class MUST:
- Attend the presentation ceremony
– 1st placegetter to attend with the winning horse, as per EA Eventing Rules 505.3.4 & 505.3.5
- Acknowledge the class sponsor
– Provide proof via Google Review, Facebook post, or sharing to the sponsor’s page
– Please tag Warwick Horse Trials and the relevant sponsor
PAYMENT PROCESS
• Placegetters will receive an email from [email protected] within one (1) week of the event
• Riders must provide required details within 14 days, including evidence of sponsor acknowledgment
• Prize money will be paid directly into the rider’s nominated account
• Please check your spam/junk folder
Optional Donation
Prize winners may choose to donate their prize money back to the club to assist with running events and maintaining the XC course. This support is greatly appreciated.

Prize money not claimed within one (1) month will be automatically donated back to the club.
PROTESTS
As per EA Rule 515.6.2 – Protests concerning irregularities, incidents, or the classification of a competition must be lodged no later than 30 minutes after:
• the announcement of results, or
• the posting of results on the event noticeboard.
KEY INFORMATION
MEMBERSHIP & ELIGIBILITY
• ALL RIDERS MUST BE CURRENT EA MEMBERS
• Horses competing in EvA95 and above must hold current EA Registration
• Base Horse Registration is available for all other horses via the EQ website
• This event is conducted under EA & FEI Rules; riders are responsible for knowing and complying with the rules
• It is the rider’s responsibility to ensure they meet the required Minimum Eligibility Requirements (MERs) for their chosen class – refer to EA National Eventing Rule 520.4

Draw and Results
The draw for the event will be available on Nominate and emailed to all riders prior to the event. Any changes to classes will be emailed to competitors and announced during the event.

Horse Health Declarations
All competitors must hand their completed Horse Health Declaration to the Event Secretary upon arrival.
Failure to do so will result in elimination from competition and may affect future attendance at the grounds.

WITHDRAWALS & CHANGES
• Withdrawals must be made by 4.00 pm on the day prior to the event, or as stated in the schedule
• Athletes who fail to declare their intention to withdraw may incur a penalty at the discretion of the EA Branch
• Riders may make changes to entries up until the close of entries (9/8/2025)
• Changes after close of entries will incur a fee
ENTRY INFORMATION
• Riders must print two (2) back numbers – these will be emailed to competitors
• Classes are limited to 35 riders per class; once filled, a waitlist will operate
• Rider Representative details will be published in the Riders Notes and displayed at the Event Office
Juniors
Please indicate when entering if you are a junior rider. If sufficient numbers are received, junior classes will be run. If not, the top three juniors in each class will be recognised.
CROSS-COUNTRY COURSE WALKING
EA 536.2.1.1 – The Cross-Country course must be walked on foot only, unless permission is granted by the TD in consultation with the OC.
Any permission will be posted on the noticeboard. If not posted, walking on foot only is permitted.
NATIONAL PASSPORTS & REGISTRATION
Competitors must comply with EA National Rules regarding Horse Registrations and Passports.
Please allow sufficient time to apply for your horse passport and ensure you bring your FEI Passport and EA Registration to the event.

CAMPING & YARDS
There will be no change of camping or yards, once allocated at this event
- Powered sites – $45 per night
- Unpowered sites – $35 per night
- Yards – $25 per day
- BYO yards – $20 per day (with OC permission only)
- BYO yards will not have access to power.
- Set up for BYO yards permitted on A & D blocks
DOGS
Dogs are welcome; however, owners are responsible for the actions of their dog/s at all times. All dogs must be kept on a leash and remain secure within the camp area. Please ensure you pick up after your dog.
STRICTLY NO DOGS are permitted on the Cross-Country course, warm-up areas, or competition arenas. A designated dog area is provided—please refer to the event map.
GENERAL CONDITIONS
- Only official vehicles are permitted on the Cross-Country course
- Please take your rubbish with you or place it in the bins provided
- Electric fences are not permitted, as per competition rules
- There are designated manure pile areas, please ensure these are used and yards left clean at the end of the event
CLUBHOUSE CANTEEN OPERATIONS
Friday Night:
Food and soft drinks will be available for purchase at the Members’ Clubhouse from 5.30pm for those camping on the grounds. Once you have settled in, please make your way up to the clubhouse and enjoy the warm hospitality of our wonderful volunteers, Gary and Linda. Cash and card payments available.
Saturday:
The clubhouse canteen will be open for food and drinks throughout the day. A coffee van will also be on site.
Volunteers
As with all events, the assistance of volunteers is essential to the running of the sport we all love. Help is needed with dressage pencilling, show jumping, and cross-country jump judging. When entering, please provide your volunteer’s name, contact details, and email address, as a briefing document will be sent prior to the event. We will be using Signup for volunteer roles, with the link to be sent out after the draw has been released.
Cross-country fence judges: If you would like a breakfast bacon and egg roll before cross country, please place your order at the canteen on Saturday.
