Zone 19 Pony Club Camp is a three-day camp designed to provide riders with a structured, supportive, and enjoyable Pony Club experience. Riders will take part in organised activities, lessons, and camp routines under the guidance of instructors, troop leaders, and camp officials.

All meals are provided for the duration of camp and are included in the camp cost. Camp will proceed in wet weather unless otherwise advised by the Zone 19 camp committee.

Please read all sections of this form carefully before submitting. Completion and submission of the form confirms that riders, parents/guardians, and attendees have read, understood, and agree to follow the camp rules and requirements outlined in this document.

Cancellation policy: Cancellations received on or before 31 August 2026 will receive a full refund. No refunds will be provided for cancellations received after this date.

Rules and Agreement

By completing and submitting this form, riders, parents/guardians, and attendees acknowledge that they have read, understood, and agree to follow the rules of Zone 19 Pony Club Camp. Failure to follow these rules may result in disciplinary action, including removal from activities or expulsion from camp without refund.

Rider Rules

• Each rider may ride one horse only. Any change of horse must be approved by the Camp Coordinator or designated instructor.
• Riders must remain with their allocated troop unless given permission by the troop leader or instructor.
• Riders must follow the directions of instructors, troop leaders, camp officials, and other authorised personnel at all times.
• No mobile phones are to be used while riding.
• Riders must take part in all scheduled activities unless prior arrangements have been made with the Camp Coordinator.
• Riders must not ride unless under instruction from a designated group leader or activity instructor.
• Any rider not enrolled in camp is not permitted to ride.

  Safety, Behaviour and Conduct

• All riders, parents, guardians, visitors, and attendees must behave safely, respectfully, and appropriately at all times.
• All camp attendees must remain within designated camp areas.
• Horses must not be taken into areas marked “No Horses” or “Horses Not Permitted Beyond This Point”.
• Pony Club property, showground facilities, and other people’s belongings must be respected and cared for.
• No swearing, disobedience, unsafe conduct, disruptive behaviour, or uncontrolled behaviour will be tolerated.
• A behaviour management system will be used. Warnings may be issued by instructors or troop leaders. Repeated or serious behaviour issues may result in time out, parent discussion, removal from activities, or expulsion from camp.
• Any behaviour deemed unacceptable by the committee may result in expulsion from camp without refund.
   
• Riding Gear and Dress Requirements
• All riders must wear Pony Club approved riding boots.
• All riders must wear an approved riding helmet that complies with Pony Club NSW requirements and has the Pony Club NSW sticker attached.
• Helmets must be worn whenever mounted, lunging, or handling horses as required by camp officials.
• Helmets and cross-country vests must be sighted at the first session each day.
• Pony Club approved cross-country vests are mandatory for all cross-country activities 
• Sun-smart riding clothing, including collared sleeved shirts, is required.
• If, in the opinion of the Senior Instructor or official gear checker, equipment is unsafe, the rider may be asked to dismount until the equipment is repaired or replaced.

• Prohibited Items and Activities

• Dogs are strictly not permitted at camp.
• Drugs are strictly prohibited. Any child or adult found using or possessing drugs will be expelled from camp immediately.
• Underage use of vapes, tobacco, or alcohol will not be tolerated and disciplinary action will be taken.
• No open fires or naked flames are permitted on the showground.
• No one is to ride on the outside of any vehicle or ute.
• No bikes or scooters are to be ridden in stable or riding areas. Bikes or scooters left lying around may be confiscated.

  Horse Care and Welfare

• Riders must provide their own horse and are responsible for its care, feed, water, bedding, and equipment.
• Horses must be safe, suitable, fit, and in consistent work before camp.
• Horses should be on the feed they will eat during camp for 2–3 weeks before camp begins.
• Horses must be up to date with worming/drenching and farrier care.
• If a horse is considered unsafe, unsuitable, lame, unwell, or unable to continue safely, camp officials may require the rider to dismount, leave the lesson, or withdraw from camp.
• Any ill treatment of horses will result in expulsion from camp without refund.
• Any veterinary or related expenses incurred are the responsibility of the horse owner.
• If a horse is seriously injured or unwell, the owner or parent/guardian will be contacted where possible. If they cannot be contacted, camp officials may authorise veterinary care in the best interests of the horse.
  
  Stables
• All horses must be stabled on the grounds during camp.
• Stables must be cleaned regularly during camp and fully cleaned before leaving the grounds.
• Manure and stable bedding must be placed only in the areas marked.
• Any uncleaned stable or stall may incur a fine charged to the rider’s club and may affect future camp acceptance.
• Helmets and boots must be worn around the stables when required by camp officials.
• No children are permitted in the stable area after 6:00 pm, even if accompanied by a parent, guardian, or adult.
• The stable manager and parents may check horses during the night.
• Due to stalling limits, each rider may keep only one horse on the grounds overnight.
• Horse floats must not be parked near the stable or stall area.
• All riders must bring feeders and buckets for there horses and also have shavings for stables.
  
  Horse Tack and Equipment Required
• Large water bucket, with clean water available to the horse or pony at all times.
• Two saddle cloths.
• Fly veil, if required.
• Grooming gear.
• Rugs.
• Headstall and lead.
• Tack cleaning gear.
• Saddle and bridle.
• Horse feed and bedding.
• Manure rake.and Wheel barrow or Cart to clean outstable at end of Weekend
• Labels for equipment such as buckets, rakes, and fly veils are recommended
