ANNUAL CAMP

Monday 5th to Thursday 8th of January 2026

WESTBURY SHOWGROUNDS

THINGS YOU NEED TO KNOW

  • Camp is open to any financial member who has attended one or more working rallies throughout the year.

This year, U10 riders will be able to stay any night at camp if their parents stay with them.

  • Camp commences on Monday afternoon and goes through until camp is cleaned up after the last lesson on Thursday afternoon, the ground will be locked after this time. The children are not to leave until the whole ground is cleaned. Riders come into camp on Monday afternoon at 3:30pm. No rider is to be left before this as there will not be any supervision on site until then. A Barbecue tea will be provided for Monday night’s dinner from 6:00pm.
  • A roster is drawn up for kitchen duty for each day. It is expected that all families will provide help in the kitchen sometime during camp unless you are instructing. There is a 2-hour slot each evening where you can assist with washing and tidying up after the evening meal, so if you work and are unable to make any other time, this is where you can assist. A Help roster will also be included with this information based on responses provided on Nominate.
  • Parents are also needed to provide supervision each night if children are over 10. This year, parents will be asked to stay at least one night if they have a child staying for the whole of camp. Please indicate which night you can stay on the camp form.
  • Parents attending during the day are welcome to eat with the riders for a minimal cost. If you wish to do this, please let the canteen co-ordinator know each day to ensure enough food is prepared.
  • Wednesday night will be casserole night. Parents are asked to bring a casserole to share for Wednesday. Options as indicated on Nominate have been provided to the Canteen Manger so please advise if any change.  All parents are also reminded to bring a cake or slice for morning or afternoon tea. A tea towel dropped off at the kitchen would also be appreciated. Please advise Clare Tubb on 0447 060 873 with what you will bringing.
  • Camp is designed to be a fun couple of days for both horse and rider. To make camp successful it is imperative that assistance is received from parents to help with the many tasks associated with running this event. It is expected that riders are to remain on site unless attending activities organised by the Committee.
  • If a rider needs to leave for any reason, they must inform a committee member/canteen coordinator of the time they are leaving and report back to them upon their return. Should riders wish to attend alternative functions of a night horses need to be taken home to ensure proper care. This is imperative so that we can account for everyone in the case of an emergency. Riders are not permitted to have alcohol.
  • There are yards at the Westbury Showgrounds for everyone’s ponies. Each rider will be allocated one yard for their pony/horse. If you are taking more than one horse you may be allocated another yard if there are enough or you will need to bring sufficient materials to make a yard. So that everyone’s ponies and horses can be accommodated, any constructed yards must not exceed 6*5metres. We will be allocating yards to make sure riders have adequate space for their ponies/horses.
  • Responsible use of mobile phones will be enforced throughout camp. The committee recognise that some guardians/parents provide mobile phones to their children for safety and organisational reasons. Riders will be expected to hand their phone/devices in to the supervising adults prior to 9pm. They will be locked in a secure place over night and returned to riders in the morning. If a rider needs to make contact with a parent, this can be done through the supervising adults. Riders are responsible for keeping their phones safe and charged.
  • It is a requirement of the Westbury Show Committee that yards are left clean and tidy.
